Please note that Pretalx is only capable to show one room in your submission, so if your session is scheduled into multiple (physical and virtual) rooms at once, the information may not be reliable. If you only see a virtual room and expect to see a physical room, then please check your emails - we did send you the entire scheduling with physical and virtual rooms by email!

We need your presentation slides or any other materials you’ll use for your session by June 15th, 2025, EOB at the latest. Please provide your presentation in a standard format (ods, pptx, pdf). Send them to eventorga@haecksen.org.
We ask for these materials early so we can prepare a few things in advance. For example, there will be recommendations for age ratings for certain challenging contributions. Additionally, for hybrid sessions, we want to offer (remote) sign language interpretation for some contributions. This means that many people will need to engage more deeply with your content and prepare accordingly.
It would be wonderful for the entire community if you would include content warnings. Please let us know if you think your contribution should receive an age rating. You can either reach out to eventorga@haecksen.org, contact the Awareness Team directly at cfc_awareness@systemli.org, or just note it with your contribution!
We would also appreciate if you would consider potential barriers when designing your session, like eg.:

We would like to know in advance if you are planning any special elements (videos, music, remote connections, animations, collaborative tools) so we can prepare them technically if needed. Otherwise, the already very limited time to resolve these technical aspects on-site could be lost from your contribution. Under "Interior & Room" in your proposal, you'll find either your own assessment or our suggestion for the room layout that would best suit your contribution.
The Hall will be either free (freigeräumt) or have row seating (Reihenbestuhlung).
In the workshop rooms, there are the following options:

Table groups or a round table with chairs around it
Chairs arranged in a circle, with tables pushed to the side

For many workshops, digital media can be a good option because it makes it easier to save the results of the work. However, many of these tools also have accessibility downsides. There are some open-source alternatives, here are some examples:
Writing documents is easiest either in so-called "pads" or in office-like documents.
Just like real whiteboards, there are also digital whiteboards, and of course, mind maps, which are a bit older. While whiteboards are often used for free-form writing and drawing, mind maps can also help with structuring ideas. CryptPad provides Whiteboards as well.
For many coding workshops, platforms like Glitch or Codeberg can also be used.

You can take your time to pack up your 7 things and simply leave. We don't have any requirements for you to do anything or be available for anything.
Hopefully not. It would be nice if you all could help each other with cleaning up, so you don't have to clean up after your own session, but maybe you can help someone else out sometime, so they can take a break and recover! Of course, this depends on whether this sharing system works :-) It's generally desirable that the next contribution doesn't lose time because there are still things to clean up!
